Supplier Registration

Learn how to become a registered supplier and begin doing business with the University of Pennsylvania.

Become a Supplier

Procurement Services manages the onboarding process for new suppliers and payees on behalf of the University. New suppliers must be invited by the University before they can register. Invitations may be initiated by Penn faculty and staff or, in certain cases, directly by Procurement Services as part of a strategic sourcing initiative.

Once approved, prospective suppliers and payees receive an invitation to register through Penn’s Supplier Portal, powered by Jaggaer (formerly SciQuest). During registration, suppliers must accept the University’s terms and complete the required registration steps.

Before registering, prospective suppliers should review the Doing Business with Penn page. As part of the onboarding process, suppliers must also review and agree to Penn’s PO Terms & Conditions, Supplier Code of Conduct, and the University’s conflict of interest policies.

The Supplier Portal

Penn’s Supplier Portal allows suppliers to:

  • Register and maintain company information
  • Accept purchase orders
  • Submit invoices
  • View purchase order, invoice, and payment status
  • Manage ordering and payment information

If you have questions about the Supplier Portal, please contact the Procurement Services Operations team at SupplierSupport@upenn.edu or 215-898-7216.

Supplier Portal Benefits

Registered suppliers can use the Supplier Portal to:

  • Securely register and manage company information
  • Select payment methods, including direct deposit
  • View purchase orders, invoices, and payment status at any time
  • Submit invoices online using several convenient methods, including PO Flip

All registered suppliers, including purchase order suppliers, independent contractors, non-PO suppliers, limited engagement providers, and honoraria recipients, have access to the Supplier Portal.

Purchase Order (PO) Delivery Methods

Suppliers can manage their preferred PO delivery method through the Supplier Portal. The University offers two options for PO delivery: email, which is the preferred option, or fax.

Suppliers interested in transmitting purchase orders and invoices via cXML may contact PennMarketplace@upenn.edu. At this time, cXML is available only for U.S. suppliers. Non-U.S. supplier profiles continue to be managed through the Supplier Portal.

Suppliers who do not use the Portal’s PO Flip or CSV functionality may submit invoices directly to Accounts Payable for processing. A valid PO number must be included on the invoice for payment to be processed.

Payment Methods & Terms

Suppliers may choose from the following payment methods during registration:

  • ePayables – Penn has partnered with Bank of America to offer a card payment program. This payment method reduces the amount of time to remit payment to suppliers.  Terms are fixed at net 10 days/approved invoice. Payments will be processed as credit card transactions.  Standard merchant fees will apply.
  • ACH – Automated Clearing House, is an electronic network for financial transactions in the U.S.  ACH payments are made directly to the supplier bank account set up on the Penn portal.  Payment terms are set at net 30 days/approved invoice.
  • Wire – A method of electronic fund transfer.  This method of payment is reserved for international suppliers so that banking information is set up in the Penn portal.  Payment terms are fixed at net 30 days/approved invoice.  Special approval must be granted by Penn Procurement Services for any domestic U.S wires.
  • Check – Penn’s least preferred method of payment.  Suppliers are encouraged to transition to a more efficient and timely electronic payment method.  Payment terms are fixed at net 45 days/approved invoice.
  • Individual Payee – Payment Terms are set to Immediate pay upon receipt of approved invoice.

Payment terms for new suppliers are calculated based on the date of receipt of the invoice in Accounts Payable.

Penn Marketplace

Penn Marketplace is the University’s campus-wide procure-to-pay (P2P) system, connecting Penn purchasers with approved suppliers through a centralized purchasing platform. The system streamlines purchasing, improves ordering efficiency, and supports the University’s use of preferred suppliers while helping deliver cost savings across the institution.

Today, participating preferred suppliers receive a significant portion of the University’s purchase order transactions. Participation in Penn Marketplace increases visibility with Penn purchasers and provides suppliers with opportunities to grow their business with the University.

Whether you are a current approved supplier or interested in establishing a new business relationship with Penn, participation in Penn Marketplace can help expand your opportunities to do business with the University.

Suppliers interested in participating in Penn Marketplace should contact Procure@upenn.edu.

“The University of Pennsylvania’s Penn Marketplace is a campus-wide system streamlined our ordering efficiency and increased our sales opportunities almost overnight. Any prospective Penn suppliers should jump on this unique and powerful marketing opportunity.”
