Procurement Services is excited to announce the renewal of agreements with Ricoh USA, Inc., Allied Document Solutions and Services (ADS-S) and Parmetech (diversity- and woman-owned business) as our preferred suppliers for copiers, multifunctional devices, and printers. This renewal is effective through June 30, 2026. These top-tier suppliers have offered competitive pricing, cost-saving opportunities, and equipment right-sizing solutions, eliminating the need for a formal bid process.
How to Start Saving -
- Seek Competitive Bids: Request quotes from all three suppliers for new and renewing equipment. Compare these bids to find the most cost-effective and suitable equipment for your department. Consider leasing new equipment for a maximum of 36 months to avoid being tied to outdated technology.
- Monitor Lease Expirations: Keep track of your equipment lease expiration dates. Suppliers will reach out to you 3 months before the end of your lease to evaluate whether to return the equipment and not extend the lease on a quarter-to-quarter basis or find something more suitable. If you need details sooner, please get in touch with the suppliers directly.
- Explore Repurposing Options: Each supplier is managing equipment returned by Penn. If repurposed equipment meets your needs and cost requirements, it may be an option for your department instead of leasing new devices. Additionally, adjust your printers and copiers to default to black-and-white printing instead of color printing to reduce copy and toner costs.
